Structure and format post content with headings, lists, links, media, and tables in the shared BlockNote editor.

Outcome

You will turn a rough post Draft into structured, scannable content using the shared BlockNote editor.

Open Publishing → Posts, select a Draft, and wait for Saved before leaving the screen.

Build a heading structure

Use one Heading 1 for the public article heading. Break the rest into Heading 2 sections, and use Heading 3 only inside a Heading 2 section. Do not choose a heading because of its visual size.

Use the formatting toolbar

Select text to open the toolbar. It exposes the block type, bold, italic, underline, strikethrough, code, alignment, text colour, indentation, and link controls.

Create lists

  • Use bulleted lists for choices or unordered facts.
  • Use numbered lists when order matters.
  • Keep each item grammatically parallel.

Press Enter to add another item. Press Enter on an empty item to leave the list.

  1. Select words that describe the destination.
  2. Choose the link control.
  3. Enter the destination and confirm it.
  4. Preview and open the link using the same role as the intended reader.

Avoid “click here” and never paste credentials or access tokens into a URL.

Add media

Insert an image from Media Library after its filename, alt text, and attribution have been reviewed. Images explain spatial relationships; captions explain why the image matters.

Add a table

Use a table for exact comparisons or repeated field mappings. Give every column a clear header and keep complex instructions outside table cells so they remain usable on narrow screens.

Check accessibility

  • Headings follow a logical hierarchy.
  • Links make sense out of context.
  • Images have meaningful alt text or are deliberately decorative.
  • Meaning does not depend on colour alone.
  • Tables have clear headers.

Save and preview

Wait for Saved, then preview the post. Check headings, links, lists, tables, images, captions, keyboard focus, and narrow wrapping.

Undo or recover

Use the editor undo control for the current session. If a saved edit is wrong, stop before publishing and use the post’s available History or draft recovery controls rather than deleting the post.

If formatting looks wrong

  • Remove pasted formatting and reapply the intended block type.
  • Confirm the text is not inside the wrong list or table cell.
  • Reload only after the status says Saved.
  • Check the public template separately from the editor canvas.

Publication gate: another editor must repeat keyboard, link, media, table, desktop, and narrow checks.
